Tracking tasks through Excel works well for small teams, but as your team and business grow, you need a more robust solution. Trello offers an excellent platform for task management, and with Monkedo No-Code Automation Tool, you can automate the transfer of tasks from Excel to Trello seamlessly. Here’s a step-by-step guide to help you automate this process without manual data entry. Also, you can watch the video tutorial.
Step 1: Open Monkedo Editor
Start by navigating to the Monkedo editor screen.
Step 2: Set Up Manual Trigger
This automation won't be repetitive, so select "Manual Trigger" from the "Trigger" menu to initiate the process.
Step 3: Import Your Excel File
From the "Action" menu, select “File” and add the “Create Table From File” component to the editor. This component will help you upload and process your Excel file.
Step 4: Configure the File Component
Click on the added component to bring up a menu on the right. In the Inputs section, uncheck the Checkbox, since the data will come from your computer, not another component. Upload your Excel file, ensuring the titles match Trello’s fields.
Step 5: Run the File Component
Connect the "Manual Trigger" component to the "Create Table From File" component and run it. This will display the outputs under “Values” in the right menu. Running each component as you add them helps identify any issues early.
Step 6: Iterate Through Table Rows
Add the “Iterate Table Rows” component from the “Flow Control” menu to read and process each row of your table. Connect and run this component.
Step 7: Set Named Value for Better Clarity
From the “Data Action” menu, add the “Set named value” component. This helps manage a large amount of data. Enter a name like "Excel Row" in the "inputs" field to represent each row from Excel.
Step 8: Add Trello Create Card Component
Add the “Create Card” component from the “Trello” section under the “Action” menu. If you have not done so already, integrate your Trello account by clicking the “New” button.
Step 9: Configure Trello Board and Fields
Select the appropriate Trello board where you want to transfer tasks. Match the fields in your Excel file with Trello’s fields using the Expression button.
Step 10: Use Trello List IDs
For the “List” input, use the ID numbers of the Trello lists to avoid recreating the automation for each list. Copy the ID numbers by hovering over them and pressing the Alt key. Paste these into your Excel file corresponding to the correct tasks.
Step 11: Repeat for Members
Similarly, use the ID numbers for Trello members. Ensure that the data format in Excel matches what Trello expects (e.g., 'List of Text').
Step 12: Convert Text to List
To convert Excel text to a list format required by Trello, delete the connection between “Set named value” and “Create Card” components. Add the “Create List” component from the “List Operations” in the “Action” menu. Choose the method “Repeat” and set it to repeat the text from "Excel Row Member" once.
Step 13: Finalize Trello Card Creation
Return to the “Create Card” component and complete the configuration. Ensure all necessary connections are made, and each field is correctly mapped.
Step 14: Run the Automation
Click the “Run Automation” button in your Monkedo account to start the process.
Step 15: Verify Task Transfer in Trello
Switch to your Trello board to confirm that tasks from your Excel file have been successfully transferred. Your Management Board should now display the tasks in the appropriate lists.
